You likely have a packing list template for all of your on-site events. Me too. Here's a few less obvious items on my list:
Extras of everything. Extra phone chargers for attendees to borrow. Extra power strips for exhibitors. Extra batteries. Extra packing tape. Extra scissors and utility knives. Extra staplers. Extra flash drives.
Comfort stuff. Protein bars for anyone that forgot to eat. Bandages for blisters and whatever else. Advil, mints, and a few mini bottles.
Printed copies in my carry-on. Attendee lists, exhibitor list with booth assignments, venue contracts and BEOs, agenda and speaker contact info, and contact lists for the venue and A/V. And a flash drive of ALL the things in my carry-on bag.
Random things such as an easel pad for last minute signage, blank printed badge inserts. And, of course, all brochures for member benefits, save the date cards for upcoming events, bag filled with cheap pens, raffle tickets, envelopes for on-site payments, and acrylic table-top sign holders.
